Effective date: 4 November 2026. A booking is governed by the version of this policy in effect on the date the booking was confirmed. Later changes do not apply to a confirmed booking unless the Guest agrees in writing.

1. Purpose of This Policy

This Cancellation Policy explains how cancellations, date changes, early departures, partial non participation, and refunds are handled for Kyoto Cultural Residency.

This policy forms part of the overall terms of the program, together with the Stay Agreement, Program Terms, Guest Guide, House Rules, Privacy Policy, and any separately agreed written conditions between the Operator and the Guest.

The purpose of this policy is to make the cancellation conditions clear in advance and to avoid misunderstandings between the Guest and the Operator.

2. Nature of the Program

Kyoto Cultural Residency is a medium term cultural stay program in Kyoto.

In principle, the program is designed for stays of 1 month or longer.

The program is not a hotel service, not a short term accommodation service, not a sightseeing tour, and not a daily lesson based course.

The program includes, within the agreed scope:

  1. Use of the agreed living space
  2. Cultural practice opportunities
  3. Operational management
  4. Basic stay related support
  5. Coordination with teachers or external instructors where applicable

Because the program requires advance preparation, schedule coordination, space allocation, teacher availability, and operational planning, cancellation conditions must be clearly defined.

3. Booking Confirmation

A booking is considered confirmed when the full program fee has been received by the Operator, unless otherwise agreed in writing. The full program fee is paid at the time of booking.

Before the booking is confirmed, the requested dates may be held only temporarily.
